I manage four account with Outlook no probs. There is an option in outlook when running rules that says "move copy to specified folder" or similar. I get all mine filtered and no copies.

On the second problem, i found a machine doing this recently out of the blue. If its not automatic updates then try shutting down indexing services. I have a machine that started this recently and this helped this and another problem of the drive being busy all the time.

Edit: There are lots of reasons for the shutdown to be slow, i mention this one as its the latest for me!
